Cradlepoint’s Subscription Renewal Process and Policy


This document describes the Cradlepoint Subscription Renewal Process and how Customers will receive notifications that it is time to place a renewal order.

Cradlepoint offers subscriptions to the NetCloud Service as licenses to Essentials and Advanced Plans for Branch, Mobile, and IoT. In addition, licenses to the Zscaler Internet Security service and NetCloud Perimeter (NCP) Client are purchased as subscriptions.

Ordering & Purchasing


  • Cradlepoint sends an email notification to the Partner of Record (USAT) that includes a customer-specific Renewal Quote 90 days prior to any subscription expiration. No action should be taken until the Renewal Quote is received.
  • Partner of Record works with the Customer Account Contact to place the Renewal Order using standard PO process.
    • This PO must match the Renewal Quote provided from Cradlepoint Services Renewal team. If any adjustments are required, they must be made before the PO is issued so the order is not rejected.
    • The Partner places the Renewal PO with an Authorized Cradlepoint Distributor (or Cradlepoint, depending on the reseller agreement), which must include the original Cradlepoint Renewal Quote number (SQ#).
      • If no order is received 30 days prior to a subscription’s expiration, an email notification is sent to the Customer Account Contact (with a copy to the Partner of Record) with a Renewal Quote. This email notification includes a link to the Marketplace where customers can pay for the renewal with a credit card.
  • The customer logs into NCM, accesses Marketplace, and pays for the subscription renewal. Refer to the following for more information about Cradlepoint Marketplace and placing an order:

  • Once the customer makes the payment, their subscriptions will be updated in all systems quickly and securely.

If no order is received at subscription expiration, email notifications are sent one last time to both the Partner of Record and the Customer Account Contact.

  • Expired subscription licenses will become Non-Compliant.
  • Alerts (if configured) will also be sent to the Customer Account Contact about the 30-day remediation period before the device becomes Unlicensed.

Co-termination


Cradlepoint follows a “Year 1 co-termination policy” to make the renewal process for Cradlepoint customers more regular, with expected and predictable timelines and budgetary requirements. “Year 1” means that all subscriptions use the full initial term. “Co-termination” means that all a customer’s subscriptions expire on the same date. Without a co-term policy, customer subscriptions (over many devices and services) may expire periodically throughout the year, making budgeting and planning more difficult.

After the first year, co-term renewal orders are placed, purposefully adjusting the expiration to align with the next Renewal Anniversary Date. These co-term renewal quotes are sent with prorated terms and prorated “Special Pricing” so that the expirations all line up to the same date—the Co-Term End Date. Once the Co-Term End Date is established, all future renewals will be standard 1-year renewals.
Co-termination applies to all subscriptions for Essentials Plans, Advanced Plans, Zscaler service, and NetCloud Perimeter Clients.


Notification


At 90 days before the Renewal Anniversary Date, Cradlepoint sends an email notification with a Renewal Quote to the Partner of Record for a Customer Account. The following chart outlines the notifications sent to Partner of Record and Customer Account Contact over those 90 days and the changes made to subscription licenses’ status unless a Renewal Order is placed (see Subscriptions & Licenses FAQ for more information).
